BRG-SOP-007

Payment management

Central collection of group contributions, only when a service is offered.

Purpose

To handle group money openly, centrally and safely.

Principles

  • Nothing is paid during registration.
  • Payments are made when a service is offered: for example a connection, equipment or an installation.
  • Contributions are collected and managed centrally by the treasurer, so one member's late payment does not disconnect the whole group.
  • Bridge records only the status of a payment and a reference. Bank and card details are never stored on the website.

Procedure

  1. The group agrees a service and its cost (BRG-SOP-005).
  2. The treasurer creates a monthly line for each member showing the amount due.
  3. Members pay the treasurer using the agreed method and receive a receipt.
  4. The treasurer marks each line paid, unpaid or waived and enters the payment reference.
  5. The treasurer pays the supplier or provider and keeps the invoice.
  6. The group reviews collected, expected and outstanding amounts each month.

Records

Monthly subscription lines, references, receipts and supplier invoices.
